Faculty and Staff Access Card policy

Policy

  • UD access card is a UD property, designed to facilitate access to various university services and facilities.  The access cards are monitored to ensure the safety of the faculty, staff and the students while maintaining the security of the university physical assets.  

  • Each access card has a unique ID. Staff and faculty or anyone assigned access card(s) must return these to the university upon resignation/termination of employment or when the need for such access is no longer required. 

  • Temporary access cards arrangement will be provided to UD visitors and for faculty/staff whose cards are not issued/are being issued.

  • The access card should be only used by the card holder. Violations of this rule may be subject to disciplinary action.

 

1. Authorized Issuer of UD Access Cards

The ITS is responsible for issuing access cards for faculty and staff. Temporary access cards arrangement will be provided to UD visitors and to faculty/staff whose cards are not issued or are being processed.

 

2. Issuance of Faculty and Staff Access Cards

Access cards are issued to the faculty and staff upon written request from the HR department. The following details should be provided: 

  • Name

  • Academic Rank/Administrative position (if applicable)

  • College/Department


The ITS department will prepare the access card and provide necessary access as listed in Table 1.

The ITS Department will obtain both faculty and staff signature on a photocopy of the received access card which will verify the receipt of the access card. This photocopy will be maintained by ITS along with the HR written request. 


Upon receiving the access card, the card holder has the sole accountability of the access card usage.

 

4. Issuance of Access Cards to UD Visitors

Visitor’s access cards are available at the university center reception. The following steps are followed to provide access card for UD visitors:

  • The visitor will provide UD security with a photo identification card.

  • The UD security must register the visitor name along with the department /UD personnel he/she

is visiting.

  • The UD security will use the identification cards as collateral in exchange for the temporary access card. 

 

5. Maintaining access cards records 
The ITS is responsible for maintaining a log of all faculty /staff who were issued access cards.

 

6. Lost, Damaged and/or Stolen Access Card
In case the access card is lost, damaged and/or stolen, the faculty /staff should immediately inform the HR department to avoid any misuse. A written request for a replacement must be sent to the HR department. The faculty /staff will be charged AED 200 for the re-issuing of the access card. Upon payment, The HR will send a reissuance request to the ITS.

 

7. Modification to Access 

Any modification for access level for the faculty/staff is subject to the President’s approval.
