Certificate Authenticity Verification Policy

Policy 

UD is committed to maintaining the highest standards of academic integrity and transparency. This policy is established to ensure the accuracy and legitimacy of student certificates submitted to the university. This policy outlines the procedures for verifying the authenticity of certificates, including but not limited to degree certificates, transcripts, and other official documents.

Responsibilities

  1. Students: 

    • Students are responsible for providing accurate and genuine certificates as per UD admission policies. 

    • Students should be aware of the consequences, including academic and legal repercussions, for submitting fraudulent documents.

  2. Admissions Department: 

    • The Admissions Department is responsible for collecting and verifying the authenticity of documents submitted by prospective students during the admission process.

    • The Admission Department collaborates with the Registration Department to ensure a smooth transition of verified documents into the university's official records. 

  3. Registration Department: 

    • The Registration Department is responsible for maintaining accurate records of verified documents and related correspondence.

    • The Registration Department will be responsible to check the authenticity of the missing documents that were not submitted during the admission stage.

  4. Investigation Committee: 

    • The Investigation Committee is responsible for reviewing cases where document discrepancies are identified during the verification process.

    • The committee ensures a fair and impartial investigation, providing students with an opportunity to present their side of the case.

    • Based on the investigation, the committee provides recommendations to the appropriate authorities regarding the consequences for students found to have submitted fraudulent documents.

Procedure

The University employs various methods to verify the documents submitted by applicants. These methods may include:

  1. Document Review: Applicants are required to submit their mark sheets or transcripts along with the application form. Admission officers carefully examine these documents to verify their authenticity.

  2. Contacting Educational Boards/Institutions: UD may directly contact the educational boards or institutions where the applicants have completed their previous education. They request verification of the mark sheets and other academic records from the respective authorities.

  3. Online Verification Systems: UD may use online verification systems provided by educational boards or institutions. These systems allow the University to verify documents electronically, ensuring quick and efficient verification.

  4. Third-Party Verification Agencies: In certain cases, university may engage third-party verification agencies to conduct a detailed background check on the applicant's educational records. 

 

Consequences of Certificate Fraud

The University reserves the right to:

  1. Suspend the application process while investigating an alleged fraudulent application.

  2. Withdraw the application/registration/place if it is proven, or if the University has reasonable belief that the information provided is false, or if the applicant/student refuses to provide the requested information.

  3. Terminate a student’s registration if they are found at a later stage to have submitted a fraudulent application to the University.

 

Right of Appeal

Any applicant whose application is canceled or rejected within the scope of this policy may seek a review of the decision through S6.20 Student Grievance Policy.
