Change of Study Plan Policy

Policy 

1. Change of Major (Same Program, Same Catalog Year) Eligibility:

  1. A student may change their major within the same program and catalog year (e.g., BBA Marketing 2022–2023 → BBA Finance 2022–2023).

  2. Treatment of Courses and Grades:

    • Courses common to both majors count toward the new major with the original grade and continue in the CGPA.

    • Courses not required in the new major are excluded from the CGPA but remain on the transcript.

2. Change of Study Plan (Newer Catalog Year, Same Major/Program) Eligibility:

A. A student may shift from an older catalog year to a newer one within the same major (e.g., BBA Finance 2022–2023 to Finance 2025–2026). Shifting back to a previous (older) catalog is not permitted. A change to a newer catalog year may be approved under any of the following conditions:

 

1. The student has interrupted studies for more than two consecutive regular semesters (or one academic year).

2. The student is readmitted after withdrawal, dismissal, or academic suspension.

3. The student requests to transfer to a new major or concentration that did not exist in the previous catalog.

4. The student’s original program has been discontinued, restructured, or revised by the University.

5. The student petitions to follow the new catalog and obtains formal approval from the College and the Registrar’s Office.

6. All approved catalog year changes and program updates shall take effect in the next academic term and shall not be applied retroactively within a semester.

 

B. Treatment of Courses and Grades:

  • All courses with a grade of C (2.0) or above remain unchanged with original grades and continue in the CGPA.

  • Grades below C remain on the transcript but are not included in the CGPA.

C. Degree Requirements:

  • Courses below Grade C that are required must be repeated; only the new grade will count.

  • Academic Warnings:

    • Prior Academic Warnings are canceled; future Academic Warnings apply based on recalculated CGPA.

  • Note: Since C is the minimum passing grade (2.0), a student’s new CGPA will not fall below 2.0 if only C and above are counted.




3. Limitation on Requests

A. A student may use this policy only once during their academic career at UD, whether for a change of major, catalog year, or program of study (e.g., BBA → IT or IT → BBA). Under exceptional circumstances a further request may be considered with VPAA approval.


B. Students who applied to change their program of study or major prior to the implementation of this policy will remain on the study plan available at that time and will not be affected by its provisions unless they submit a new application.

4. Eligibility Conditions

A. The student must obtain Program Director and Dean approvals, supported by a written justification for each individual case.

B. The student must agree to repeat required courses with grades below C if the courses are Common.

C. The student must acknowledge that dismissal will occur after three consecutive academic warnings, per UD regulations.


5. Procedures

A. Student submits request via the e-form on the student portal.

B. Academic Advisor reviews and recommends.

C. College Director/Dean approves or rejects.

D. Registrar’s Office verifies compliance, updates the plan/major in CAMS, annotates the transcript and degree audit, and issues the official decision.


6.  Deadlines

A. Requests must be submitted at least two weeks before the start of the intended semester.

B. Late requests will be processed for the following semester.

 7. Transcript & Audit

A. All final grades remain visible on the transcript.

B. Degree audits reflect only courses applicable to the active catalog and major. No applicable courses will be in the “Not Applied to Audit” section.


8. Standing, Probation, and Graduation

A. Good Academic Standing requires a CGPA ≥ 2.00.

B. Students must maintain a CGPA ≥ 2.00; otherwise, Academic Warnings apply.

C. Graduation requirements (CGPA and completion of program requirements) remain unchanged.

Concerns & Implementation Notes


A. Scholarships and Sponsorships: Approval of a change in major or study plan does not guarantee continued financial support by sponsors. Students must confirm funding eligibility with their sponsor before requesting changes.

B. Appeals: Decisions under this policy are final. Students may appeal only in cases of procedural error, following the University’s Academic Appeals process.

C. Advising Responsibility: Students are responsible for consulting their advisor to understand the impact of changes on their graduation timeline, course sequencing, and internship requirements before submission.

D. Deadlines & Workflow Communication: For clarity, deadlines may be published in tabular format, and workflows may be displayed visually (flowcharts) on the student portal.
